Guiding Principles

Protecting your privacy is vitally important to Oklahoma State University. To provide our students and customers with a broad range of services as effectively and conveniently as possible, we use technology to manage and maintain student and customer information. To that end, we want you to understand what information we collect and how we use it. The following policy serves as a standard for Oklahoma State University in its collection, use, retention, and security of nonpublic personal information that we obtain in connection with providing services to you.

First and foremost, Oklahoma State University complies with the Family and Educational Rights and Privacy Act (commonly referred to as FERPA or the Buckley Amendment) and cannot release personally identifiable information without prior consent unless required by law. FERPA requirements and the text of the full document may be found here.

Collection of Information

We receive and maintain nonpublic personal information about you from the following sources:

  1. Information provided by you on applications and other forms;

  2. Information provided by you to federal and state agencies;

  3. Information provided by you to organizations contracted to provide or facilitate federal, state, and institutional services;

  4. Information we receive from a consumer-reporting agency.

Use of Personally Identifiable Information

Oklahoma State University does not sell, rent, or lease your personally identifiable information to entities outside the university system. We do not disclose any nonpublic personal information about our students, former students, or customers, except as provided by law. Furthermore, Oklahoma State University and its affiliates do not disclose your personal information to institutions, companies, or organizations that would use the information we have provided them to contact you about their own products or services.

We do not release any information concerning your medical records, and in accordance with the Financial Services Modernization Act, we do not release nonpublic financial information. We comply with rules and regulations regarding e-commerce as detailed in the Code of Federal Regulations, Title 12 “Banks and Banking,” Chapter 11 “Federal Reserve System,” Part 205, “Electronic Fund Transfers”-- commonly referred to as “Regulation E.” The privacy components of Regulation E detail how we must communicate our intentions regarding payments to your account, our restrictions on disseminating your information, and disclosure requirements. You can view the Regulation E requirements document in its entirety here.

We use your information to better communicate with you in an electronic forum by helping you complete a transaction or to display information. We do not use credit card information for any purpose other than completing a payment.

Security

Oklahoma State University wants to ensure your privacy and the integrity of the information you disclose to us. We have both logical and physical security measures in place to prevent the loss, misuse, or alteration of the information under our control.

We maintain a secure environment for our servers, with multiple deterrents to access. Disallowing anonymous access, having a scheduled backup process, and the use of Secure Socket Layers for sensitive data transmission protects the data housed on the servers. Our staff operates on a need-to-know basis regarding the information surrounding our e-commerce transactions, and all staff members are aware of our security and privacy policies. These measures and more allow us to accomplish our security goals.
